Reports Guide: What Each Report Shows & How to Use It

How to Utilize Reports

General

Unit Details

What it is: The full list of units with any unit-specific information (i.e. bedroom counts).

How it can be used:

  • Confirming all the units exist in Parking Boss

Unit Passcodes

What it is: Each unit's passcode — the code residents use to register vehicles in Parking Attendant.

How it can be used:

  • A resident forgot their passcode and the office needs to look it up.
  • Look up the previous passcode for a unit (update the date range)

Space Details

What it is: The full list of spaces with additional information about the spaces (i.e. level, capacity).

How it can be used:

  • Confirming all spaces exist in Parking Boss
  • Confirming the space capacity is correct (i.e. that there are 500 OPEN parking spaces)

User Permissions

What it is: Everyone who has access to Parking Boss for the property and their access level (Full Access, Enforcement Only, or View Only).

How it can be used:

  • See what date a user was revoked and who revoked them (update the date range to see past users)
  • A quarterly access audit — making sure former employees or old vendors no longer have access.
  • Confirming a towing company is set to Enforcement Only rather than Full Access.

Access Log

What it is: A log of sign-in/authentication activity on the account.

How it can be used:

  • Confirming whether a specific team member has logged in (helpful during onboarding or training follow-up).
  • Investigating who was active on the account around the time an unexpected change was made.

Notes

What it is: All notes recorded on the account (for example, notes left on vehicles, units, or permits) in one place.

How it can be used:

  • Before responding to a tow dispute, a manager reviews any notes enforcement or office staff left on that vehicle.
  • A new property manager catches up on the history the previous team documented.

Enforcement

Scans

What it is: Every license plate/vehicle scanned using their camera, recorded by patrollers in Field Agent, with date and time.

How it can be used:

  • Showing proof of patrol coverage to the community or board.
  • Checking whether a vehicle was scanned on the date a resident is disputing.

Checks

What it is: Enforcement checks (patrol visits) completed at the property over the selected period. These units/vehicles/decals/spaces are manually searched or selected by the Field Agent.

How it can be used:

  • Verifying a towing/patrol partner is completing the number of checks per week they're contracted for.
  • Spotting a drop-off in patrol activity (e.g., only 3 checks in a week when more are expected).
  • View which vehicles were checked, if they were permitted at the time of the check, and who recorded the check.

Violations

What it is: All recorded violations, including vehicle, reason, date, photos, and location data (when captured).

How it can be used:

  • Building a monthly violations summary for a board or ownership meeting.
  • Pulling the full record of a violation when a resident disputes a tow or warning.

Escalations

What it is: Vehicles that have hit the property's escalation threshold — for example, a second violation within the rolling period — so the most serious/repeat offenders are in one list.

How it can be used:

  • Focusing tow or ban decisions on repeat offenders instead of first-time violations.
  • Giving management a short list of residents to contact about ongoing parking issues.

Banned

What it is: All vehicles that are currently banned from registering.

How it can be used:

  • Explaining to a resident or guest why they can't register.
  • Periodically reviewing the ban list to remove vehicles that no longer need to be banned.

Failed Attempts to Register

What it is: Registration attempts that were blocked, along with the reason (e.g., incorrect passcode, over a limit, banned vehicle).

How it can be used:

  • A resident says they tried to register before being towed — check whether there's a failed attempt and why it failed.
  • Spotting abuse or bots — e.g., hundreds of attempts in a day with passcodes one digit apart.
  • Finding residents who keep hitting their limits so management can review the policy.

Safelist

Safelist reports cover temporary/guest-style permits.

Vehicle Usage Summary

What it is: Safelist usage totaled per vehicle (how often each vehicle has been registered for a guest and/or special permit).

How it can be used:

  • Finding "guest" vehicles that are registered so often they're effectively living on-site.
  • Looking up how much a specific vehicle has used guest/special parking over a period.

Unit Usage Summary

What it is: Safelist usage totaled per unit, so you can see how each unit is tracking against its limits.

How it can be used:

  • Identifying units that are using far more guest parking than others.
  • Identifying if most units are reaching their monthly limit early in the month

Special Permit Activity

What it is: Activity for special permits (e.g., contractor, vendor, or other special-use policies).

How it can be used:

  • Tracking how many contractor or vendor permits were issued during a renovation project.
  • Confirming a vendor was properly registered on a specific day.
  • History

Printed Passes

What it is: A list of passes that were issued as printed (physical/paper) passes, with the policy, unit, vehicle (if collected), and dates.

How it can be used:

  • A manager wants to know how many printed guest passes a unit has issued this month.
  • Support needs to confirm that a pass a resident says they printed actually exists and was valid on a certain date.

History

What it is: Every individual safelist registration, with the policy, unit, vehicle, and start/end times.

How it can be used:

  • Confirming whether a vehicle was registered at the exact time it was towed.
  • Reviewing all registrations under a specific policy (e.g., Guest Parking) for a given week.

Assigned Permits

What it is: A count of how many vehicles, decals, and spaces a unit is assigned.

Smart Decal Assignments

What it is: Which Smart Decals are assigned to which units/vehicles.

How it can be used:

  • Looking up who a decal belongs to when it's seen on a vehicle.
  • Finding unassigned decals still in inventory.

How it can be used:

  • Settling a dispute over who is assigned to a specific space.
  • Reviewing all reserved/garage space assignments before a pricing change.

What it is: Spaces that aren't currently assigned.

How it can be used:

  • Leasing offering a reserved space or garage to a new or waitlisted resident.
  • Double-checking that a space shown as available really is open before assigning it.

What it is: The full list of all assigned permits in the account.

How it can be used:

  • This report will be used to pull the full list of vehicles if Smart Decals are not being used.
  • Can pull assigned spaces and resident vehicles all in one report.
