How to Refund or Void an Amenity or Parking Permit Payment in Manager

Manager users can give residents and guests their money back on a paid permit without contacting Community Boss. Each paid permit has two options in Manager: Refund Payment and Void Fee.

Where to find it:

  1. In Manager, open the property and find the permit. Use Lookup to search by plate, or go to Parking.
  2. On the permit card, click PAYMENT to expand it.
  3. Under the amount paid, you’ll see Refund Payment and Void Fee.

What each option does:

  • Refund Payment: returns the full amount to the buyer. The fee stays on the permit’s record. Stripe keeps its processing fee, and the community normally pays that fee.
  • Void Fee: sets the fee to $0. If the money was already collected, voiding also refunds the buyer, and the Stripe fee is still lost. If the charge was only authorized and never collected, voiding releases it and costs nothing.

💡 Either way, the buyer gets the full amount back. The options differ in what happens to the fee on the record and who absorbs the Stripe fee, not in how much the resident receives.

NOTE: For recurring fees on permits, Void Fee refunds every payment on that fee.

Authorized vs. collected charges:

Some payments are authorized first and collected later. Managers have about a week to collect an authorized charge (refundable deposit). Releasing an authorization isn’t a refund, so it costs nothing. Refunding money that was already collected does cost the Stripe fee.

  • Refundable deposits: Void Fee releases the deposit hold early. Collect Payment will charge the refundable deposit.

Which one to use:

  • Refundable deposit or a charge that hasn’t been collected yet: Void Fee. It costs nothing.
  • Paid permit the resident wants refunded: either option returns the full amount. The community pays the Stripe fee in both cases.
