How Property Management Software Integrations Work in Manager (Yardi, Entrata, RealPage)

For communities with a Yardi, Entrata, or RealPage integration, Manager pulls resident, unit, vehicle, and rentable item (space) data from the property management software (PMS) and shows it next to the Boss data. Managers use it to see who moved in or out and which vehicles still need a permit.

What syncs from the PMS
  • Move-ins and move-outs (lease status for each unit)
  • Residents: names, mobile numbers, emails, and the dates they've lived in the unit
  • Vehicles residents have listed in the PMS
  • Rentable items (parking spaces, garages, storage) tied to a unit's lease
How often it syncs
PMS Sync schedule
Entrata Every 15 minutes
RealPage (ODE) Residents every 15 minutes; all data re-checked every 24 hours
Yardi 2x daily (6am / 5pm)

If you just made a change in your PMS, it won't show in Manager until the next sync. The Synced time on the Units page and on each unit shows when data last came in.

Where to see it in Manager:

Units page

Go to the Units tab in Manager. The left column shows Property Sync with the status (e.g., "Entrata connected" and "Syncing updates") plus the last Synced time.

Units are sorted into three columns:

  • Needs Attention: units where the PMS shows a move-in or move-out that hasn't been completed in Parking Boss yet. "None right now" means the property is caught up.
  • Vacant: shows the PMS move-out date (e.g., "Moved out Mon Aug 31") and, once it's been processed in Boss, a gray Completed date.
  • Occupied: shows the PMS move-in date (e.g., "Moved in Thu Jul 30").

Unit details

Click Details on any unit. This pulls up the Unit Lookup. The Property Sync column shows:

  • Move timeline: the PMS move-in/move-out date, and the Completed date once it was completed in Manager.
  • Vehicles from the PMS, with the owner and an Add parking… button to create a permit for that vehicle. This will autofill the vehicle info, resident info, and rentable items (if applicable).
  • Residents with mobile, email, and "From" dates.
  • Rented items from the PMS, or "No rented items".

The Parking column next to it shows what's actually permitted in Boss, so you can compare the PMS vehicles with active permits side by side. If the vehicle in your PMS is not permitted in Parking Boss it will say ‘Needs Attention’.

Processing move-ins and move-outs:

When a unit shows up in Needs Attention, complete the move-in or move-out in Manager. This resets the unit for the new resident and starts a new unit history (use Switch under History to see past residents).

When completing a move-in or reset:

  • Assign Smart Decals/Vehicles as needed using the 'Add Parking...' feature (or re-activate the permits if the current resident's vehicles had already been permitted - they would have been revoked when the move-in was completed)
  • Share the updated passcode with the new resident

Parking Dashboard

Go to Manager → Parking. The Property Sync column lists every PMS vehicle that is not registered in Parking Boss.

Click Review to open that unit. The vehicle shows under Needs Attention in the Property Sync column with an Add parking… button. Use it to register the vehicle, and check the residents and rented spaces listed below it to assign the right space. Once the vehicle has an active permit, it drops off the list.

If they no longer have that vehicle, remove the vehicle from your PMS to remove it from the Needs Attention list.
